Privacy Notice and GDPR Policy
To effectively carry out our role as agents, it is essential for us to retain some personal data about our clients. This information enables us to coordinate job placements and auditions, negotiate contracts, apply for child performance licenses, and administer any potential future residual payments.
This section outlines the types of data we collect, the methods of storage, and the procedures we follow once our representation of a client concludes.
We retain data that our clients provide through Tagmin, including phone numbers, email addresses, home addresses, dates of birth, and banking information. Additionally, we maintain copies of necessary documents for performance licensing, such as signed medical declarations, birth certificates, scans of passports (for both the children and parents where international travel is needed), and passport-sized photographs.
We ensure the security of electronic copies by storing them on remote encrypted servers, while physical copies are securely locked away.
We share data solely with verified individuals who have a legitimate need for it, including production companies that are organizing call sheets, transportation, and lodging; casting directors and legal teams drafting contracts and agreements; and educational authorities responsible for processing performance licenses.
Once your representation concludes, we will eliminate all physical documents within seven working days, with the exception of copies of contracts necessary for any future payments and your signed agency agreement.
Additionally, we will erase all electronic copies of documents within the same seven working days, apart from scanned contracts, approved performance licenses, and the contact and banking details you have provided to Tagmin. We retain these items for ongoing purposes, as they enable us to collect future earnings and transfer them to you.
Your Information – Agency Applicants:
When prospective clients submit their applications for our review, we retain their information while we determine whether to extend an offer of representation. This information includes photographs, email addresses, dates of birth, and occasionally video clips.
We will retain this information until:
- We have reached out to applicants to inform them that we are unable to invite them to audition,
- We have auditioned them and communicated that we will not be offering representation at this time, or
- We have extended an offer of representation, but it has not been accepted.
At that point, we will delete this information and dispose of any physical documents we may have received and personal information will be added to Tagmin by the client.
Data Sharing – Production Companies/Casting Teams:
We adhere to GDPR guidelines and require third parties to verify their own compliance with GDPR before we can disclose any personal information. We will only share information that is necessary to engage a client for a particular production, and we anticipate that this data will be securely deleted as soon as it is no longer needed. While most of our regular partners will have corporate GDPR policies in place, we must confirm compliance before sharing any information with new contacts or production team members who do not use corporate email addresses.
